Privacy Policy

1. Who we are
DAVSAM LIMITED (“DAVSAM”, “we”, “us” or “our”) provides educational products and services. Depending on what is available, these may include digital tools and subscriptions, learning resources, publications, training, coaching, workshops, events and booked sessions.
This policy explains how we use personal information when you visit our website, contact us, buy from us or take part in a DAVSAM service.
DAVSAM LIMITED is the data controller for the personal information described in this policy, unless we explain that a different organisation is responsible for a particular service.

2. Personal information we collect
The information we collect depends on how you interact with DAVSAM. It may include:
Contact information, such as your name, email address, telephone number and postal address.
Order and booking information, such as the product or service you chose, booking details, subscription status and payment status.
Messages and feedback, including information you provide when you contact us or respond to a survey.
Technical information, such as your IP address, browser or device type, and information about how you use our website. Some of this information may be collected through cookies or similar technologies.
Information provided by an organisation, such as a school or business, when it arranges or pays for a service for you.
We ask you to provide only information that is relevant to your enquiry, order or service.
Payments
Payments may be handled by Stripe or another payment provider identified at checkout. The payment provider collects your card details directly; DAVSAM does not receive your full card number. We may receive your name, contact details, purchase information and payment status to manage your order or subscription. The provider’s own privacy information also applies to its processing.
Learner information and digital tools
The current PLB app prototype does not create user accounts or save learner entries. Please do not enter a learner’s name, contact details, health information, safeguarding information or other identifying details into the prototype.
For a future service that requires learner information, we will explain what is collected and why before collection begins. Where a school or other organisation decides why and how learner information is used, that organisation may be the data controller and DAVSAM may act on its instructions as a data processor. The roles and arrangements will be set out for that service.
3. How and why we use personal information
We use personal information where it is necessary to:
Respond to enquiries and provide information you request.
Process orders, bookings, subscriptions and payments.
Provide and support the products or services you have chosen.
Communicate about your order, booking or subscription.
Keep business, tax and accounting records.
Protect our website and services and investigate suspected misuse.
Improve our products and services where we have a lawful basis to do so.
We rely on one or more of these lawful bases:
Contract: to take steps you request before an order, and to provide what you buy or book.
Legal obligation: to keep records or provide information where the law requires it.
Legitimate interests: to respond to business enquiries, administer and secure our services, and maintain appropriate business records. We consider your rights and interests when relying on this basis.
Consent: where required, for example for certain marketing messages or non-essential cookies. You can withdraw consent at any time.
We do not currently make decisions about people that have legal or similarly significant effects based solely on automated processing.
4. Children and sensitive information
DAVSAM does not ask people to send sensitive learner records, health information or safeguarding information through the website or the current PLB app prototype.
If a particular service needs information about a child or other sensitive information, we will explain the purpose and arrangements for that service before it is collected. We will only process that information where we have a lawful basis and any additional legal condition that applies.
Children should use DAVSAM services only with the involvement or permission of a parent, carer, school or other responsible organisation, as appropriate to the service.
5. Who we share information with
We may share relevant information with:
Squarespace, which hosts and supports our website.
Stripe or another payment provider, which processes payments.
Google, where we use Gmail to manage business email.
Suppliers who help us provide a specific product or service.
Professional advisers, such as accountants or lawyers.
Regulators, courts, law enforcement or other authorities when required by law or when necessary to protect our rights.
We require service providers who process information for us to protect it and use it only in accordance with their arrangements with us. We do not sell personal information.
6. International transfers
Some service providers may process personal information outside the UK. Where a transfer requires safeguards under data protection law, we will use an approved transfer mechanism, such as an adequacy regulation or an appropriate UK transfer agreement. Contact us if you would like information about a particular transfer.
7. How long we keep information
We keep personal information only for as long as we need it for the purposes described in this policy, including any legal, accounting or reporting requirements.
Our intended retention periods are:
General enquiries: up to 24 months after the last substantive contact, unless the enquiry leads to a continuing matter, purchase or dispute.
Booking and service records: while the service is being provided and afterwards for as long as reasonably needed to administer it, handle a complaint or meet legal obligations.
Invoices and accounting records: for the period required by applicable company, tax and accounting rules.
Technical information and cookies: for the period needed for the stated purpose, as described in our cookie settings or by the relevant provider.
When information is no longer needed, we will delete it or take steps to remove identifying details.
8. Cookies and similar technologies
Our website may use cookies or similar technologies to make it work, remember preferences and, if enabled, understand how visitors use it. These technologies may be provided by Squarespace or other services used on the website.
Where consent is required, we will ask before using non-essential cookies. You can change your choices using the cookie settings on our website. You can also manage cookies through your browser, although blocking essential cookies may affect how the site works.
9. Your information rights
Depending on the circumstances, you may have the right to:
Ask for a copy of your personal information.
Ask us to correct inaccurate information.
Ask us to erase or restrict the use of information in certain circumstances.
Object to certain uses, including processing based on our legitimate interests.
Request a copy of information you provided to us in a portable format, where the right applies.
Withdraw consent where we rely on consent.
To exercise a right, contact infodavsam@gmail.com. We may need to verify your identity before responding and will reply within the time required by law.
You can complain to the Information Commissioner’s Office (ICO) at ico.org.uk/make-a-complaint.
10. Security
We use reasonable technical and organisational measures to protect personal information against unauthorised access, loss or misuse. No method of sending or storing information is completely secure, but we work to protect the information we hold.
11. Changes to this policy
We may update this policy if our services or data practices change. The current version will be published on this page with its updated date.
